Watch Warranty and After-Sales Terms for Export Orders: What Buyers Should Specify

Time: Oct 03, 2026
A watch warranty is only worth what can actually be executed in the destination market. The period matters far less than three things a buyer must settle in writing: what counts as a defect, who carries out the repair, and who pays the freight. A warranty with a generous period and no local execution route creates claims that cannot be closed.

Why Warranty Terms Are a Sourcing Decision, Not a Formality

On most consumer products the warranty is a document. On watches it is an operating process, because a repair involves parts, a skilled hand and a decision about who pays to move a small item across the world twice.

Three characteristics of the product shape the terms. A watch is small and dense, so return freight is inexpensive per unit but slow relative to its value. Faults are often visible to the end customer and socially awkward to dispute, which pushes importers towards replacement rather than repair. And several common issues - battery depletion, strap wear, plating loss - sit on the boundary between a defect and normal use, which is exactly where warranty disputes start.

For these reasons the warranty model should be chosen at the same time as the specification, because the model changes unit cost. Two suppliers quoting the same watch with different after-sales models are not quoting the same product.

What Should a Watch Warranty Cover?

Coverage varies widely, and the useful exercise is to agree each line item individually rather than accept a general statement. The table below sets out the items that most often need a decision.

ItemCommonly coveredCommonly excludedWhat to confirm in writing
Movement and timekeepingManufacturing faults and operation outside the agreed accuracy toleranceDamage from impact, moisture or unauthorised repairThe tolerance figure and how rate is tested
Case and platingManufacturing defects present at deliveryWear, scratches and plating loss from useWhether plating wear is treated as a defect or as wear
GlassFactory defects and faulty seatingImpact damage, scratches and pressure marksWhether glass replacement is a service item and at what cost
BatteryOften limited to dead-on-arrivalNormal depletionWhether a flat cell at delivery is covered, and for how long
Strap and buckleManufacturing defects such as loose stitching or a faulty catchCracking, discolouration and wearWhether straps are treated as consumable items
Water resistanceFailure within the rated use, where the seal has been maintainedUse beyond the rating, or damage after an unsealed battery changeThe rating, the test method and the gasket service policy
Voice module on talking modelsManufacturing faults in speech outputSpeaker damage and moisture ingressWhether the module or the whole watch is replaced
Display and LCDDead segments, faulty contacts and contrast faultsImpact damage and pressure marksThe acceptance criteria for dead segments or pixels

Two lines on that table cause most of the arguments. Water resistance after a battery change is the first, because the rating depends on a gasket that may not have been replaced. Plating and strap wear is the second, because wear is a legitimate expectation of use and not a fault. Both should be written down rather than left to judgement at the point of claim.

Who Executes the Warranty in Each Market?

This is the decision that most often determines whether a warranty is real. There are four workable models, and each has a different cost profile that should be reflected in the quoted price.

ModelHow it worksCost and risk profile
Return to factoryUnits are sent back for repair or replacementLowest parts risk, longest turnaround, and freight is paid twice. Workable for higher-value or low-volume programs
Importer-held spare partsA parts kit ships with the order and the importer repairs locallyFastest resolution for the end customer. Requires a parts kit and a repair capability at the importer
Authorised local service partnerA local watchmaker works to an agreed scheduleGood turnaround where a partner can be found. Needs agreed labour terms and a reliable parts route, and quality varies between partners
Replacement against evidenceThe supplier issues a replacement on photographic evidence, without repairSimplest to administer and to audit. The cost is predictable but is priced into the unit cost

The practical point is that the model must be named in the agreement. A warranty that does not say who performs the work is not a warranty, it is an intention.

Spare Parts and Serviceability

Turnaround time in a warranty claim is mostly a parts problem rather than a repair problem. Three decisions make the difference:

  • A starter parts kit in the first shipment. A small quantity of movements or modules, gaskets, straps and buckles removes the need to ship a single replacement across the world. The kit is usually a fraction of the order value and repays itself the first time a claim is closed locally.
  • A clear division between user-serviceable and service-centre items. Straps and batteries may be replaceable by the end user; movements, seals and displays usually are not. Stating this in the manual reduces inbound support contacts.
  • A stated parts availability period. Buyers should ask how long parts will be available after the order, because a watch that cannot be repaired is effectively written off. This is worth more than an extra month of warranty period.

One further item is easy to overlook: when a watch carries a water resistance ratings claim, the gasket belongs in the service kit. Without it, every battery change quietly converts a rated watch into an unrated one.

Returns and Freight: Who Pays for What

Disputes in this area almost always trace back to an unnamed responsibility rather than to a disputed fault. The following situations cover most of the volume.

SituationCommonly assigned toWhat to write into the agreement
Dead on arrival within an agreed windowSupplier replacesThe length of the window, the evidence required, and whether inbound freight is credited
Manufacturing defect found after deliverySupplier, subject to an agreed capThe definition of a defect and any maximum claim expressed as a share of order value
Damage in transitDepends on the Incoterm and the insurance arrangementWho insures the shipment and the point at which risk transfers
End-customer return that is not a defectImporterWhether any support is provided at all, and on what basis
Batch fault discovered after sell-throughNegotiatedWhether a goodwill allowance or a credit against a future order applies

Inbound and outbound freight in a claim are separate questions. Agreeing that the supplier replaces a faulty unit is not the same as agreeing who pays to move it, and the difference becomes visible the first time a claim is raised.

What Should Buyers Write into the Purchase Order?

A warranty clause that can be executed contains the following items. If any are missing, the clause is a statement of intent rather than an operating term.

  • The warranty period, and whether it runs from shipment, from delivery or from the point of retail sale
  • The definition of a defect, including how wear, plating loss and strap ageing are classified
  • Item-level coverage, following the pattern of the first table
  • The execution model, naming who performs the repair in each destination market
  • The parts kit contents to be shipped with the order, and the parts availability period
  • The evidence required to raise a claim, agreed in advance so that it is not improvised later
  • Freight responsibility for each claim type, in both directions
  • Any cap on total claims, expressed as a share of order value
  • The gasket and seal policy after any battery service
  • The contact point and response expectation for claims

Confirming these at specification stage costs nothing and prevents most of the disputes that otherwise surface months after delivery. It is the same discipline that applies to inspection: the terms that are written down are the terms that can be enforced, which is also why the scope of an inspection should be agreed before production rather than after, as set out in our guide to running a pre-shipment inspection.

Common Mistakes

  1. Treating the warranty as marketing copy. A promise without a named repair route cannot be honoured, and the failure becomes visible to the end customer rather than to the buyer.
  2. Leaving freight responsibility unstated. The cost of moving a faulty unit twice is often larger than the unit itself.
  3. Not defining what a defect is. Without a definition, every wear-related complaint becomes a negotiation.
  4. Skipping the parts kit. Locally held parts shorten turnaround more than any other single decision.
  5. Assuming a rating survives a battery change. If the gasket is not replaced, the seal claim no longer holds.
  6. Comparing quotes without checking the after-sales model. A lower unit price with a factory-return-only warranty is often the more expensive option once claims are counted.

Frequently Asked Questions (FAQ)

What warranty period is normal for watches?

It varies with the price band and the channel, so a single figure is not meaningful on its own. What matters commercially is the combination of period, coverage and execution route. A shorter period that can be resolved locally is usually worth more than a longer one with no repair path.

Who pays for return shipping on a warranty claim?

It depends on what was agreed and on the cause of the fault. The point to settle in writing is who bears freight for each claim type in both directions, rather than assuming one rule covers every situation.

Should spare parts be included in the first order?

Usually yes. A small kit of movements or modules, gaskets, straps and buckles lets the importer close common claims locally, which shortens turnaround and reduces the cost of each claim. The kit is normally a small share of order value.

Does the warranty cover water ingress?

Normally only within the rated use and only while the seal is intact. A rating describes defined conditions, not unlimited water contact, and a watch opened for a battery change without a new gasket may no longer meet its original rating.

Is the battery covered by the warranty?

A cell that is flat at delivery is usually covered, while normal depletion during use is usually treated as consumable. Because the boundary differs between suppliers, the terms should state it explicitly rather than leaving it to interpretation.

Can a local watchmaker handle warranty repairs?

Yes, provided the labour terms and the parts supply route are agreed in advance. Without those two items the arrangement tends to produce inconsistent quality and slow resolution, which is what buyers are trying to avoid.
